At CommerceYard Fulfillment Services we offer a wide range of fulfillment services. From receiving orders, warehousing, order pick & pack, (pick pack) to inventory management and worldwide shipping. You’ll have 24/7 visibility of your stock and orders through our Free to access Client CRM solution, available on both desktop and mobile.
We’ll get you up and running quickly as our systems are fully integrated with all the major shopping carts. We charge a low flat fee for the initial integration, with no on-going fees. We can also work with your own in-house systems, such as secure file transfer via FTP.
Including kitting of individual items if required. We provide an efficient, accurate ‘same day’ pick pack service for all orders received by 11.00am PST each working day.

For all of our clients we store stock in our secure storage and warehousing facilities. Many clients choose to store their entire stock with us. Others feed stock to us on a weekly basis depending on what suits their sales pattern best. Through our dedicated, Free to access client CRM system clients can access the status of customer orders, returns and stock holding 24/7. This gives complete visibility of the current status of the account wherever and whenever required.
We use an online OPIM (Operations and Information Management) file to process orders, generating an integrated invoice and label PDF from imported customer order data. Our system receives a daily import file from a clients API or FTP. Twice daily for order volumes greater than 5,000. This file contains all the data we require to process that particular days customer orders.
Once the file is imported, the OPIM will reject any orders with errors and import only valid orders. An email notification is then sent to our clients informing of any invalid orders so appropriate action can be taken to rectify these.
In the event that there is not enough stock available to ship every customer order, those unfulfilled will be placed on back order until new stock arrives. We then automatically fulfill once the product is back in stock. All remaining orders are then printed and moved through the process to our pick & pack area.
Once the orders have ben collected by our shipping partners, they are marked as shipped and a reconciliation file is produced in FTP.
All orders are reconciled back to a clients own system daily, each time orders are marked as shipped in our system.
To gain access to our CRM portal every client receives unique login details which are password protected. Once logged in, the account dashboard is accessible and the most frequently used reports are readily available, including:
Stock Level – break down of stock levels for individual SKU’s
Dashboard KPI’s – remaining stock levels and stock cover is represented in a dashboard format. Other KPI’s measured include daily ‘orders in’ and ‘shipped’
Orders Report – a breakdown of orders shipped, rejected, cancelled, back orders and return. Searchable by order date, shipped date or by order ID number
Returns Report – a list of any returned orders with customer details
Our client CRM system integrates with all the major shopping carts to allow for the automated importing of customer orders. We can also create a bespoke integration with any clients own system.
For convenienience our CRM is available to access either via desktop or on a mobile device.
Pick & pack services – From the receipt of the daily customer order file, either automated from any of the proprietary Shopping Carts, or the secure transfer of a file via FTP, the process begins.
Labels and dispatch notes are printed, the necessary stock is scanned out and matched to each customer order. Customer orders are then carefully packed using the specific method and packing materials pre-agree with each client.
Products requiring special handling such as paint and body spray aerosols, classed as dangerous goods, are packaged and labeled in accordance with the relevant guidelines and legislation.
In addition to handling customer orders, we also manage order returns and processing on behalf of of our clients.
Once a client authorizes a return direct with a customer, the item can be posted directly back to the Commerceyard Fulfillment center, via a P.O box address dedicated for that business. Once received, we scan the items back into our CRM system to reconcile the return with the customer’s details and confirm its safe receipt by us.
We then inspect the returned product, note the condition of the item, and whether it has been returned complete, unopened, with packaging intact. Then to the pre-agreed protocol, we can either return the product back to our client’s stock for resale, re-package or set aside for return to the client for disposal.
